Editor Guide to the FMC Journals Platform

Everything a journal editor needs to run a journal on the new platform: signing in, setting up your journal, handling submissions from review to publication, and publishing issues.

Open Journal Systems 3.5 LTS 7 journals · one platform Version 1.0 · October 2026

1Your journals

All seven FMC journals now run on one platform. Each journal keeps its own web address, editorial team, settings and archive.

The faculty portal fmcjournal.seu.ac.lk lists all seven journals. Everything uses a secure https:// connection.

Please check your journal's detailsThe title, Editor in Chief, contact email and ISSNs above were copied from the old websites and PDFs. If anything is wrong, correct it in Settings → Journal (see section 5) or tell the platform administrator.

2Your account

One account per person, even if you work for several journals. The same login gives you the right role in each journal.

  1. Receive your account. The platform administrator creates your account and gives you your username and a temporary password.
  2. Log in on your journal's site using Login at the top right, for example jaf.seu.ac.lk/login. You can log in on any of the seven sites; your account is the same.
  3. Change your password straight away: click your name (top right) → Edit Profile → Password.
  4. Complete your profile under Edit Profile: name, affiliation, country, biography and your ORCID iD. Authors and reviewers see this information.
  5. Open the dashboard. After logging in, click Dashboard (or your name → Dashboard) to reach the editorial area. If you have roles in several journals, choose the journal from the journal switcher at the top left.
Email is being switched onUntil the university mail server is connected, the platform cannot send emails. That includes "Forgot your password?" messages and notifications to authors and reviewers. Until then, the administrator resets passwords, and you should tell authors and reviewers about decisions directly. This guide will be updated when email is live.

3Who does what

OJS gives each person one or more roles per journal. Your role decides which menus and buttons you see.

Journal Manager

Sets up and runs the journal: settings, website, users and roles, issues. Usually the Editor in Chief and one deputy.

Journal Editor

Handles submissions: assigns reviewers, records decisions, sends articles to production and publishes them.

Section Editor

Like an editor, but only for submissions assigned to them, for example one section or one special issue.

Copyeditor / Layout Editor

Optional helpers for language editing and for preparing the final PDF (the "galley").

Reviewer

Receives review requests and submits a recommendation and comments. Reviewers only see what is assigned to them.

Author

Submits manuscripts, answers revision requests and approves the final proofs.

To give someone a role: Users & Roles → Users, find the person (or Invite to a role for someone new) and choose the role. Reviewers and authors can also register themselves on the journal site with Register.

4A tour of the dashboard

The menu on the left of the editorial area. You only see the items your role allows.

5Set up your journal (Journal Managers, first week)

The journals were created with their name, ISSN, publisher, contact and back issues. Use this checklist to finish them; each takes a few minutes.

Settings → Journal

  • Masthead: check the journal name and abbreviation, add a Journal Summary and About the Journal text, and the Editorial Masthead (editorial board).
  • Contact: principal contact (Editor in Chief) and technical support contact.
  • Sections: every journal has a section called "Articles". Add others you need (Research Articles, Review Articles, Case Studies…) and their policies.

Settings → Website

  • Appearance → Setup: upload the journal Logo, a Homepage Image and the current issue cover; optionally pick a colour under Theme.
  • Setup → Information: texts for readers, authors and librarians.
  • Setup → Navigation: menu items such as "Author Guidelines", "Editorial Board" and "Contact".
  • Setup → Privacy Statement and Announcements (switch on if you want news on the home page).

Settings → Workflow

  • Submission → Author Guidance: paste your Author Guidelines and the submission checklist from the old website.
  • Review → Setup: review type (double-blind), default response and completion times, reminders.
  • Review → Reviewer Guidance: review guidelines and competing-interest statement.
  • Emails: check the signature and the main templates (submission acknowledgement, review request, decision letters).

Settings → Distribution

  • License: choose the licence (for example CC BY 4.0) and copyright holder.
  • Search Indexing: a short description and keywords for search engines.
  • Access: keep "open access" (the default) so all articles are free to read.

Users & Roles

  • Give your associate and section editors their roles, and build your reviewer list.
TipClick View Site (top of the dashboard) in another browser tab to see your changes as readers do.

6From submission to publication

Each submission moves through four stages. The page of a submission has a tab per stage and the buttons for the next decision.

1 · Submissioncheck, assign an editor
2 · Reviewreviewers, revisions, decision
3 · Copyeditinglanguage and format
4 · Productionfinal PDF, then publish

Stage 1 — Submission

  1. A new submission appears under Needs editor. Open it and use Assign in the Participants box to assign an editor (or yourself).
  2. Check the manuscript against your guidelines: scope, format, anonymised file and similarity check.
  3. Decide: Send for Review, Decline Submission (desk reject), or for invited pieces Accept and Skip Review.

Stage 2 — Review

  1. Click Add Reviewer, search your reviewer list (or create a new reviewer), choose the review type and deadlines, and send the request.
  2. Follow progress in the reviewer list: accepted, overdue, completed. Reviewers' Recommendation and comments appear when they submit.
  3. Record the decision: Request Revisions (the author uploads a revised file; you may Resubmit for Review), Accept Submission or Decline Submission. Pick which reviewer comments to share with the author.

Stage 3 — Copyediting

  1. Assign a copyeditor (or do it yourself), and upload the edited file as Copyedited.
  2. When the text is final, click Send To Production.

Stage 4 — Production and publication

  1. Prepare the final typeset PDF using the journal template. Upload it under the Publication tab → Galleys → Add galley, label "PDF".
  2. In the Publication tab, check Title & Abstract, Contributors (all authors, affiliations, ORCID), Metadata (keywords), References and Permissions & Disclosure.
  3. Under Issue, use Assign to Issue to choose the issue, and enter the page numbers.
  4. Click Schedule For Publication. The article goes online when its issue is published. To change something afterwards use Unschedule; for a published article, Create New Version.
The Activity LogEvery submission has an Activity Log showing who did what and when. It's useful when several editors share the work.

7Publish an issue

  1. Go to Issues → Future Issues → Create Issue. Enter volume, number and year, and optionally a cover image and description.
  2. Schedule the accepted articles into the issue (stage 4 above). Open the issue to put them in the right order, matching the page numbers.
  3. Optionally upload a full-issue PDF or cover page as an issue galley.
  4. Click Publish Issue. The issue moves to Back Issues, appears on the journal home page as the current issue, and all its articles go online.
Before you press PublishOpen Preview and check every title, author name, page range and PDF link. After publication, articles are indexed by Google Scholar and changes become visible to the public.

8Your back issues

The archive of each journal was moved from the old websites: 88 issues and 432 articles, each with its PDF, authors, pages and, where possible, abstract and keywords.

JournalMovedPlease check
JAF5 issues · 21 articlesVol 2 No 2 "CSR Disclosure … Amana Bank": its PDF prints the wrong abstract, so supply the correct one. The mobile-banking paper appears in Vol 2 No 1 and Vol 3 No 1: keep both? The hidden paper "Mediating Role of Green Finance…" (Vol 2 No 2) was not moved; was it withdrawn?
SEUSLJM20 issues · 81 articlesGenerally complete. Pages of the old JAF website from Vol 3 No 2 onward were copies of SEUSLJM issues; they are only in SEUSLJM now.
JBE14 issues · 107 articlesMost old PDFs were scanned images, so abstracts were read by text recognition (OCR) and may contain small errors. Vol 6 No 1 and Vol 6 No 2 contain the same paper on public expenditure twice.
SEUSLJHRM9 issues · 32 articlesGenerally complete.
JME3 issues · 14 articlesTamil articles. Titles are shown in Tamil; abstracts could not be extracted from the old PDFs (old Tamil font), so please add them. Vol 2 No 1 is dated July 2024, as printed in its PDFs.
JOM17 issues · 85 articlesVol 19 No 2 had no articles on the old website; upload it if it exists.
JISIT20 issues · 92 articlesYears were taken from the PDFs. One article listed twice on the old site (Vol 5 No 2 and Vol 6 No 1) is now only in Vol 5 No 2.

How to correct an archived article

  1. Open Editor Dashboard → Published (or search by title) and open the article.
  2. In the Publication tab, click Unpublish (or Create New Version to keep a record of the change), then edit Title & Abstract, Contributors or Metadata.
  3. Click Publish again. The article keeps its place in the issue.
About dates and emails in the archiveWhere the old site and PDFs gave no publication date, issues are dated 30 June (No 1) or 31 December (No 2) of their year. Author email addresses were not available, so authors carry the journal's address; that address is never shown publicly.

9Good practice

Never share accounts

Each editor and reviewer has their own login, so the Activity Log shows who did what.

Complete metadata

Full author names, affiliations, ORCID, abstract and keywords make articles findable in Google Scholar and indexes.

Anonymous review

Before sending for review, check that the file has no author names (including in document properties).

Keep deadlines visible

Check Reviews overdue and Author revisions submitted weekly.

Final PDFs only

Upload only the final typeset PDF as the galley, named consistently (for example JAF_3_2_01.pdf).

Ask before big changes

Plugins, themes and journal paths affect the whole platform. Please contact the administrator first.
